Job Title: Virtual Assistant - Export Parts Store
Job Summary: We are seeking a proactive and detail-oriented Virtual Assistant to join our team at Export Parts Store, an export parts store specializing in the sale parts, e.g., automotive, industrial, electronic. As a Virtual Assistant, you will play a crucial role in supporting the day-to-day operations of our export business, ensuring smooth communication, efficient processes, and exceptional customer service.
Responsibilities:
Communication and Coordination:
- Manage and respond to emails, inquiries, and communication from international clients, suppliers, and partners.
- Coordinate with shipping carriers, customs agents, and freight forwarders to ensure timely and accurate delivery of parts.
Order Processing:
- Process and track customer orders, ensuring accuracy and timely fulfillment.
- Assist customers with order-related inquiries and provide excellent customer service.
Documentation and Compliance:
- Prepare and maintain export documentation, including commercial invoices, packing lists, and shipping labels.
- Ensure compliance with international trade regulations and requirements.
Market Research:
- Conduct market research to identify potential suppliers, customers, and market trends.
- Stay informed about industry developments and competitors.
Data Management:
- Maintain and update product catalogs, pricing information, and inventory levels.
- Generate reports and analyze data to support decision-making processes.
Administrative Support:
- Provide general administrative support, including scheduling appointments, managing calendars, and organizing meetings.
Qualifications:
- Proven 5 years’ experience as a Virtual Assistant or in a similar administrative role.
- Familiarity with export processes, international shipping, and customs regulations.
- Excellent communication skills, both written and verbal.
- Strong organizational and multitasking abilities.
- Proficient in using communication tools, project management software, and Microsoft Office Suite.
- Detail-oriented with a commitment to accuracy and thoroughness.
- Ability to work independently and collaboratively in a remote team environment.
Education and Experience:
- Bachelor´s degree
- Previous experience in export operations, logistics, or related fields is a plus.
Work Environment:
This is a remote position, and the successful candidate will be expected to work independently, demonstrating self-motivation and a commitment to meeting deadlines.
